Overview & Policy Objective

Novixa Fund requires every individual and corporate client to complete a mandatory identity verification procedure prior to opening a trading account or conducting financial transactions. The primary objective of the Know Your Customer (KYC) Policy is to establish and verify the genuine identity of our clients, assess potential compliance risks, and ensure that Novixa Fund services are used solely by authorized, legitimate account holders.

Individual Client Verification Standard

Before account opening, every individual client must provide accurate personal details and reliable documentation to confirm their identity and residential status.

Mandatory Personal Information:

Full legal name (matching identification documents)

Date of birth (applicant must be at least 18 years old)

Country of origin and nationality

Full residential address (P.O. Box addresses are not accepted)

Must be issued within the last 3 months. Must display client's full legal name and full residential address.

Corporate Client Verification Standard

Unless a corporate client is publicly listed on a recognized major stock exchange, Novixo Capital Ltd requires comprehensive corporate transparency documentation prior to account activation:

1. Certificate of Incorporation:

Official legal registration certificate issued by government registry.

2. Constitutional Documents:

Memorandum & Articles of Association (or equivalent company charter).

3. Proof of Good Standing:

Certificate of Good Standing or recent official corporate registry extract.

4. Board Authorization:

Official Board Resolution authorizing account opening and designated account

5. Powers of Attorney:

Formal legal POA for any third-party trading managers or account operators (if applicable).

6. Identity Verification of Key Personnel:

Proof of Identity and Proof of Address for all registered Company Directors.

7. Beneficial Ownership Identification:

Proof of Identity and Proof of Address for all Ultimate Beneficial Owners (UBOs) holding 25% or more shares or voting rights.

Translation & Certification Requirements

All identification and legal documents submitted during onboarding must comply with strict legibility and translation standards:

  • Non-English/Latin Script: If documents are not in English or Latin characters, a certified, notarized English translation must be provided alongside the original document.
  • Certification Standards: Novixo Capital Ltd reserves the right to request notarized or apostilled copies for accounts originating from high-risk or non-FATF compliant regions.

Risk-Based Approach (RBA) & Enhanced Due Diligence (EDD)

Novixa Fund categorizes clients using a Risk-Based Approach. Enhanced scrutiny and Enhanced Due Diligence (EDD) procedures automatically apply to:

High-Risk Jurisdictions:

Clients residing in or transferring funds from jurisdictions identified as high-risk or monitored by FATF.

Politically Exposed Persons (PEPs):

Individuals holding prominent public functions, their immediate family members, or close business associates.

Complex Ownership Structures:

Corporate accounts involving multi-layered trust or offshore holding structures.

ENHANCED DUE DILIGENCE (EDD) MEASURES

• Declaration & Proof of Source of Wealth (SOW) and Source of Funds (SOF).

• Senior Management Approval required prior to account activation.

• Frequent periodic re-verification cycles and enhanced transaction monitoring thresholds.

Ongoing Client Monitoring & Data Confidentiality

Identity verification is an ongoing legal obligation. Novixa Fund requires clients to update expired documents (such as renewed passports) and re-verifies client records periodically.

Data Protection Standard: All submitted personal data, corporate filings, and identification records are encrypted and maintained under strict confidentiality in compliance with international data privacy laws.
